NEW GENERAL DATA PROTECTION REGULATION (GDPR)

Communication to Private Clients and Business Clients

The application of the New General Data Protection Regulation, which came into force on 25 April 2018, establishes rules regarding the protection, processing, and free movement of personal data of natural persons. It is directly applicable to all entities that process such data in any Member State of the European Union, of which Portugal is a member.

The communication of information to Private Clients shall apply, with the necessary adaptations, to service users, account administrators, representatives, and sole traders.

Multi Serviços Ramos G.R. Lda, with its registered office at Rua D. João Xavier, 6, Lagos, tax number (NIPC) 502 912 901, operating under the brand MULTI – rent a car, Passenger Vehicle and Commercial Vehicle Rental, complies with the applicable data protection legislation in force, including the provisions of the GDPR, through a rigorous data management process, respecting appropriate technical and organizational measures limited to what is necessary for the purposes for which the data are processed.

As we request sensitive information, we have appointed a Data Protection Officer, Ms. Maria Santos, who may be contacted via email at mariasantos@multiservicos.com or by telephone at +351 919 973 201, and who will be your point of contact for any matter related to data protection.

At Multi Serviços Ramos G.R. Lda, we guarantee the lawful, fair, and transparent processing of your data.

Data processing is carried out with full privacy, confidentiality, and security. Your trust in the protection of your personal data is one of our main objectives and one of our most important responsibilities.

In accordance with the GDPR, it is necessary to review your consent. Our records include data obtained throughout the contractual relationship you have established with Multi Serviços Ramos G.R. Lda.

Thus, for the processing of personal data within the scope of the GDPR, Multi Serviços Ramos G.R. Lda provides the following information:

1. The Client/Renter provides, at the beginning of the vehicle rental contract, their personal data and that of the driver(s) of the vehicle for identification purposes within the scope of the contract, expressly authorizing Multi Serviços Ramos G.R. Lda to carry out their computerized processing.
2. The Client/Renter is responsible for providing Multi Serviços Ramos G.R. Lda with current and accurate data.
3. Under the terms of the GDPR, Multi Serviços Ramos G.R. Lda informs the following:

a) Multi Serviços Ramos G.R. Lda is the entity responsible for processing the personal data provided within the scope of the contract, with its registered office at Rua D. João Xavier, 6, 8600-574 Lagos. The Client/Renter may contact Multi Serviços Ramos G.R. Lda for any matter related to the protection of personal data, as well as for the exercise of rights relating to their personal data, by written communication to the email address info@multiportugal.com, through the website www.multi-services.com, or by postal mail to Rua D. João Xavier, 6, 8600-574 Lagos.

b) Under the terms of point (b) of paragraph 1 of Article 6 of the GDPR, the processing of personal data is intended for the conclusion and execution of rental contracts.

c) Under the terms of point (c) of paragraph 1 of Article 6 of the GDPR, personal data may be transferred to third parties whenever necessary to ensure compliance with any legal obligations to which Multi Serviços Ramos G.R. Lda is subject, namely judicial authorities, criminal police bodies, tax and customs authorities, and regulatory entities.

d) Personal data may only be processed for other purposes where the data subject has given express consent to Multi Serviços Ramos G.R. Lda.

e) Multi Serviços Ramos G.R. Lda will retain the processed personal data for the period necessary to provide the services, carry out the respective invoicing, and comply with legal obligations.

f) In its legitimate interest, Multi Serviços Ramos G.R. Lda will process personal data to the extent necessary for the collection of debts from the Client/Renter arising from the provision of the service, based on the performance of this contract and the legitimate interest in enforcing its right to such collection.

g) In its legitimate interest, Multi Serviços Ramos G.R. Lda will process personal data collected within the scope of this contract and during its term for communications relating to campaigns and marketing actions for products and services related to the Client/Renter. If the Client/Renter does not wish to receive such communications, they may refuse them immediately or by using the means indicated in paragraph 3, point (a).

h) The collection of personal data through our Website will always be authorized by the user. Whenever personal data are entered, the user will be asked to authorize their collection via a checkbox, and once authorized, such collection will be carried out in accordance with this Privacy Policy. Such authorization presumes that this Policy, as well as the Website’s Terms and Conditions, have been read and understood.

4. At any time, the data subject has the right to:

a) Access their personal data, within the limits of the contract and the GDPR;

b) Amend the data and object to their processing;

c) Decide on the automated processing of their data;

d) Request the total or partial restriction of the processing of their personal data;

e) Withdraw consent;

f) Request the deletion of data and exercise the other rights provided for in the applicable legislation (except for data that are indispensable for the execution of the contract and therefore mandatory, as well as for compliance with legal obligations to which Multi Serviços Ramos G.R. Lda is subject).

5. If consent is withdrawn, this does not compromise the lawfulness of the data processing carried out up to that date.
6. Under the terms of the GDPR, the data subject has the right to be notified in the event of a personal data breach likely to result in a high risk to rights and freedoms, and may lodge complaints with the competent authority(ies).
7. Personal data may be transferred to third-party entities that provide services to Multi Serviços Ramos G.R. Lda whenever such services involve the communication of data contained in rental contracts.
8. At the moment of signing the rental contract, the Client/Renter declares that they have taken note of the information provided herein and give their consent for their personal data to be collected by Multi Serviços Ramos G.R. Lda and processed for each of the purposes referred to herein.
